Rules for no-shows or late cancellations.
You can easily set rules in YOGO for the consequences of late cancellations and no-shows.
What are “no-show fees”? These are:
-
Classes that are not refunded to a class pass.
-
Monetary fees collected with the next membership payment.
-
Classes that count toward the daily, weekly, or monthly membership limit.
-
Days deducted from time passes.
How it works:
1. Activate “no-show fees” and cancellation deadlines
Log in as an admin and go to “Settings” > “No-show fees.”
Tick “Enable no-show fees.” Then rules will appear that you can set. Once your rules are saved, a new menu item “No-show fees” will appear in the main menu, where you can also manage fees manually. It looks like this:
Set up fees
Choose whether rules apply automatically or only after your approval.
Option 1: With admin approval
If you select “After approval by admin,” fees will only be charged once you approve them. You do this via the “No-show fees” menu item in the main menu. If you choose this setting, you must manually ensure that people do not get their classes refunded to their class passes if they do not show up. You have until midnight of the same day to do this.
Option 2: Automatic
If you select “Automatically,” the system will automatically follow your set rules in the case of late cancellations or no-shows. You can still waive individual fees at any time via the main menu item. You have until midnight of the same day to do so.
If the fees apply to a person with a membership, the fee can be canceled until the next membership payment is due. Fees are sorted by the day they occur.
Now choose the rules you want for no-show fees for your classes.
Memberships:
For memberships, you can set different fees for late cancellations and no-shows. The fee in your local currency set here will be collected with the next membership payment.
Please note that for each membership under “Edit membership” in the prices section, you can set that late cancellations and no-shows count toward the daily, weekly, or monthly limit of a membership (not valid for unlimited memberships).
If you have also set monetary fees in the settings, this fee will be charged in addition.
Class passes:
Once fees are activated, classes booked with class passes simply expire in the case of no-shows or late cancellations. That’s why you only see settings here for fee amounts for memberships and time passes.
If you have chosen to always confirm fees manually, classes from class passes will be credited back unless you confirm the individual fee.
Time passes:
For each no-show and/or late cancellation, days can be deducted from time passes.
Example: A time pass is valid for 30 days. If the person does not show up, one day is deducted, so it now expires after 29 days.
Set cancellation deadlines
Now you can set your cancellation deadline. You can set a general deadline as well as special deadlines for certain class types.
Set up email notifications for fees
Do you want your customers to be informed about their fees? You can configure this further down. These emails can of course be personalized.
Click “Save” and your rules are now set ✅.
