How to create and edit your schedule

Create classes, set up repetitions, copy classes, and edit single or multiple classes.

Before you can start creating individual or recurring classes in your schedule, you need to define the class types you offer.
If you haven’t done this yet, read this article first.

Create Classes

Classes can only be created by admins in YOGO Admin. Trainers can use YOGO Teacher to check in participants, register them, arrange substitutes, and (if you allow it) cancel their class.

With our practical repetition and copy functions, you can set up your schedule faster than you think!

Here’s how:

  1. Go to “Schedule” in the main menu of YOGO Admin.

  2. Click on the blue circle in the upper right corner to create a new class.

  3. Select a date and time for the class.

  4. Select the class type (the ones you previously created — they appear in a dropdown menu).

  5. Choose the room/location.

  6. Set the maximum number of participants. There are unlimited spots for online class. 

  7. Select one or more trainers who will teach the class.

  8. Decide whether the class will be on-site, livestreamed, or hybrid.

  9. If you want to offer a free class, check the box next to “Free Class.”

  10. Do you allow bookings for this class via Urban Sports Club, Bruce or ClassPass? If you have enabled the integration (contact us for this), you can release all or some spots for partner platform bookings.

  11. If you don’t want to create repetitions, click “Create class” now. Otherwise, read on.


Create Repetitions of Your Class

Enable “Create repetitions of the class” — the checkbox only appears once you’ve set a date for the class.

  • Choose how often the class repeats (every week, every other day, …).

  • Either set a specific end date for the repetitions or a fixed number of repetitions (e.g., 20 times).

  • Click “Create class.” Your class, including all repetitions, is now visible in the schedule for both you and your clients.


Copy Your Class to Quickly Build Your Schedule

When you scroll to the right in the schedule overview, you’ll see a small copy icon. Click it. A new class creation window will open with all data from the copied class already pre-filled.

  • Want to offer the same class on a different day or at a different time? Just change the date and/or time and create new repetitions.

  • Want to change something else, such as the room, trainer, level, …? Make the adjustments, create your repetitions, and you’re done.

Click “Create class” ✅ and your schedule is ready in no time.


Edit or Cancel a Single Class

To edit a single class:

  1. Go to “Schedule” in the main menu of YOGO Admin.

  2. Use the arrows in the top right above the list view to scroll through ▶️ days or ⏩️ weeks and find the class.

Edit Class

  • Click on the class and make one or more changes.

  • Click “Save”

Delete Class

  • If there are no registrations for this class, you can click “Delete” to remove it from your schedule.

  • If there are registrations, you must cancel the class first. The signed up persons will receive a notification about the cancelation (see below). Then you can delete the class from the schedule and it won't show in yours or your student's schedule anymore.

Cancel Class

  • Click “Cancel.” When a class is canceled, an email (and optionally SMS) is sent to all registered participants.

  • Used class credits from memberships or passes are automatically refunded.


Edit or Cancel Multiple Classes at Once

You can also edit multiple classes at once. This is very helpful if, for example, you want to:

  • Change the location for several classes.

  • Add a substitute teacher for multiple dates.

  • Update existing classes after creating a new class type.

  • Cancel multiple classes due to holidays or illness.

  • Ensure that weekly repetitions don’t occur on holidays.

Here’s how:

  1. Go to “Schedule” in the main menu of YOGO Admin.

  2. Click the blue button “Edit multiple classes.”

  3. The overview now splits into two columns. In the left column under “Find classes,” search by criteria such as weekday, class type, start time, etc. (Leave other fields blank if not needed.)
    ➡️ Click “Find classes.”

  4. A list of matching classes will appear.

  5. Select the classes you want to edit or tick the box next to “Date” to select all.

Edit Classes

  • Scroll up and make one or more changes in the Actions panel on the right.

  • Fields left blank remain unchanged.

  • Click “Apply Changes” ✅ and all selected classes will be updated.

Delete Classes

  • If you accidentally created classes, click “Delete” to remove them from your schedule.

  • If any of the classes have registrations, you must cancel them instead.

Cancel Classes

  • Click “Cancel” if you want to cancel the selected classes.

  • When canceled, an email (and optionally SMS) is sent to all registered participants.

  • Used class credits from memberships or passes are automatically refunded.
